Syncing purchase orders (POs) from Airwallex to NetSuite is straightforward, with both manual and automatic options available.
Initiating a PO Sync
You have two ways to get your POs into NetSuite:
- Manual Sync: For full control, you can manually trigger a sync for any PO. Simply open the PO details in Airwallex and click the sync icon located beneath the PO number. This ensures you're sending the exact details you intend.
- Automatic Sync: If a PO hasn't been manually synced but is matched to a bill that's being synced to NetSuite, Airwallex will automatically sync that PO as well. This maintains the crucial two-way matching relationship between the PO and the bill directly within NetSuite.
What Happens During a PO Sync?
When a PO syncs, the following details are transferred to NetSuite (if available): PO number, PO amount, tax, recurrence, net payment terms, shipping and billing information, and line item details (including description, price, quantity, amount, expense category, department, and location).
It's important to note that you can only sync a PO from Airwallex to NetSuite once. Any subsequent changes made to the PO in NetSuite will not be updated in Airwallex. A successfully synced PO will be indicated by a green marker.
When POs will not sync
There are specific situations where a PO will not sync to NetSuite:
- Mismatched Accounting Information: POs will not sync if they are matched to bills that have different accounting information, such as category, department, or tax code.
- One-Time Sync: Remember, POs only sync to NetSuite once. Future changes to the PO in Airwallex (e.g., new bills being matched) will not be reflected in NetSuite. Similarly, any changes made to the PO directly in NetSuite will not update the PO in Airwallex.
If a bill is matched to a PO that fails to sync to NetSuite, only the bill will sync. It will appear in NetSuite without any matched PO information. However, the PO matching information will still be visible within Airwallex, so your records there remain accurate.
