How to manage subscriptions?

You can view, search, and open details for any subscription from the Subscriptions app in your Airwallex account. From the subscription details drawer, you can review billing info, related invoices, and take management actions like Edit, Duplicate, or Cancel.

Subscriptions Status

Subscriptions status available for you to track and monitor latest statuses through their lifecycle:

  • PENDING: The subscription is created but has not started (trial or billing). Start date and trial duration can still be changed.
  • IN_TRIAL: The subscription is in its trial period. Trial duration can be extended.
  • ACTIVE: The subscription is in a paid billing period and continues to generate invoices per your configuration.
  • UNPAID: An automatic payment attempt failed. Airwallex retries up to four times (after 1, 2, 5, and 7 days); if a retry succeeds, the subscription returns to ACTIVE. Final failure behavior is controlled by your Billing settings (keep UNPAID vs cancel).
  • CANCELLED: The subscription is permanently stopped; it cannot be reactivated.

You can adjust certain details from the subscription details drawer. Some fields are intentionally locked to protect billing integrity.

  • Fields you cannot edit: customer, billing entity, billing currency, line items, or tax rate.
  • What you can edit by status:
    • PENDING: start date; trial duration; billing duration, due date, payment setting, memo, metadata.
    • IN_TRIAL: trial duration; billing duration, due date, payment setting, memo, metadata.
    • ACTIVE: billing duration, due date, payment setting, memo, metadata.

Note: Any changes apply to future invoices only; previously created invoices are not affected.

Duplicate Subscriptions

Use Duplicate to create a new subscription based on an existing one — ideal for setting up similar plans quickly. Update any fields you need during duplication; changes to the original subscription will not affect the duplicate.

Cancel Subscriptions

Cancel is permanent and stops all pending automatic payments. When cancelling, choose how to handle charges for the current cycle:

  • ALL: Refund the full current period.
  • PRORATED: Refund only the unused time (Airwallex calculates the fair share up to the cancellation date).
  • NONE: Do not refund the current period.

Proration example: If a $90 monthly plan (30 days) is cancelled on day 15, the prorated amount is $45 (15/30 × 90).
