How to Add a New Owner to Your Organisation

The following applies to all new owners added to an existing Airwallex entity, and to all new Airwallex accounts activated on or after 22 January 2026 2AM UTC+0.

Owners have access to all permissions and all accounts under the legal entities they are assigned to. Owners added before that date won’t see their account assignments change, even if they don’t have access to all the accounts under an entity.

This article outlines how to invite a user as owner and how to promote an existing user to an owner role in an organisation.

In order to become an owner of a legal entity, the user being invited or promoted to that role must be either a Director, Ultimate Beneficial Owner (UBO) or an authorised user, often referred to as the Person Purported to Act (PPTA).

Part 1: Adding a new owner as an existing owner or admin

Step 1: Navigate to Settings > User Management > Invite User

 

Step 2: Enter the user's details (name, email, employment entity, etc.). Click Edit role to select the owner role and choose the entities the user will have access to.

 

Step 3: Click the Save button to send the invitation to the user (a reminder will appear that the user must complete identity verification).

Note: It is also possible to promote an existing user by going to Settings > User Management and then by clicking on the relevant user and Edit roles.

Step 4: Existing owners in the selected entities will receive an email prompting them to review the owner request.

 

Note: Two approvals from two different owners are required, unless the organisation has only one owner. If the inviter is already an owner, only one additional approval is needed. If the inviter is an admin, two approvals are required.

Once the approval process is complete, the user has accepted the invitation and finished identity verification, they will be granted the owner role for the relevant entities.

Part 2: How to accept an owner invitation

Step 1: The user being assigned the owner role will receive an email with a link to Join Airwallex. They must click the link and enter their information (name, phone number, password).

Step 2: The user will receive a second email asking them to complete identity verification. By clicking Verify your identity, they will be directed to a page where they must select the verified business owners (Director or UBO) they are associated with for the various entities where they are being assigned the owner role.

Note: If the user is a Person Purported to Act (PPTA)—an individual authorised by the business to operate the account on its behalf—they should select None of the above in the verified business owner selector. They will then receive an RFI (Request for Information) to provide the authorisation letter.

Once identity verification is complete, and provided the request has also been approved by existing owners, the user will be granted the owner role for the relevant entities.
