Connecting Airwallex Spend approvals to Slack

The Airwallex integration for Slack brings your Airwallex Spend approvals into Slack. Approvers receive a direct message the moment an expense, reimbursement, or bill needs their review, and can approve or reject it straight from the message — without logging in to the Airwallex web app or mobile app. This helps your team clear bills, expenses, and other spend items faster, while keeping a complete approval record in Airwallex.

What the Slack integration does

Once your organisation connects Airwallex to Slack, approvers receive interactive approval requests in Slack for the items they are responsible for approving. The integration provides the following:

  • Real-time approval requests: When an item is submitted and reaches an approver, Airwallex sends that approver a direct message in Slack.

  • Approve or reject in Slack: Each message includes Approve and Reject buttons, so approvers can action the request without leaving Slack.

  • Key details at a glance: The message summarises the item — for example, the type, amount, vendor or merchant, the person who submitted it, and a description — so approvers have the context they need to decide.

  • Automatic status updates: After an approver acts, Airwallex updates the Slack message to show the outcome, so it is clear the request has been handled and to prevent duplicate actions.

  • Consistent records: Approvals and rejections made in Slack are applied in Airwallex and captured in the item's approval history, exactly as if they were made in the web app.

The integration supports approval requests across Airwallex Spend, including:

  • Bills

  • Card expenses

  • Reimbursement reports

  • Spend requests

Slack messages are sent only to the approvers assigned by your approval workflows. Submitters and other team members are not notified.

Before you begin

Before connecting Airwallex to Slack, make sure you have the following in place:

  • An Airwallex account with administrator permissions to manage connections for your organisation.

  • A Slack workspace, and permission to add and authorise apps in that workspace. If you cannot authorise apps yourself, ask a Slack workspace administrator to help.

  • Approval workflows set up for the spend items you want approvers to action in Slack.

  • Approvers who use Slack with the same email address as their Airwallex account, so Airwallex can match them to the correct Slack user.

Connect Airwallex to Slack

Connecting is a one-time setup performed by an administrator. To connect your organisation:

  1. Log in to the Airwallex web app as an administrator.

  2. Go to Settings > Connections and find Slack in the list of available apps.

  3. Select Connect next to Slack. You are redirected to Slack to authorise the connection.

  4. In Slack, choose the workspace you want to connect, review the permissions Airwallex requests, and select Allow to authorise the app.

  5. You are returned to Airwallex, where the Slack connection now shows as connected.

After the connection is authorised, approvers begin receiving approval requests in Slack as new items reach them. No further setup is required for individual approvers, provided their Airwallex and Slack email addresses match.

Approve or reject an item in Slack

When an item needs an approver's decision, that approver receives a direct message from the Airwallex app in Slack. To action a request:

  1. Open the direct message from Airwallex in Slack.

  2. Review the item details shown in the message.

  3. Select Approve or Reject.

  4. The message updates to confirm your decision. If you approve the item, it moves on to the next approver in the workflow, if there is one.

You can continue to view and action items in the Airwallex web app and mobile app at any time. If an item is actioned elsewhere before you respond in Slack, the Slack message reflects the latest status.

How approvers are matched to Slack

Airwallex matches each approver to their Slack user by email address. For an approver to receive requests in Slack, the email address on their Airwallex account must be the same as the email address on their Slack account in the connected workspace.

If an approver does not receive Slack messages, check that their Airwallex and Slack email addresses match. If Airwallex cannot deliver a message in Slack, the approver still receives the approval request by email so that no approval is missed.

Mute Airwallex notifications in Slack

If you receive approval requests but want to cut down on Slack notifications from Airwallex — for example, if you prefer to review requests at set times rather than as they arrive — you can mute the Airwallex conversation directly in Slack. Muting keeps the integration active: your approval requests still arrive and you can view and action them whenever you choose. You simply stop receiving alerts and unread badges for new messages.

Muting only changes your own Slack notifications. It does not disconnect the integration or affect other approvers, and you remain responsible for actioning any requests assigned to you. Because you will no longer be alerted, remember to check the Airwallex conversation (or the Airwallex web or mobile app) regularly so that approvals are not delayed.

Mute the Airwallex conversation on the desktop

  1. In the Slack sidebar, select the Airwallex app to open the conversation. You can find it under Direct messages or Apps.

  2. At the top right corner of the conversation, select Mute Conversation.

Muted conversations stay in your sidebar but no longer trigger notification badges or alerts. To turn notifications back on, open the conversation again and select Unmute Conversation in the same place.

Mute the Airwallex conversation on mobile

  1. Open the Airwallex conversation in the Slack mobile app.

  2. Tap the conversation name at the top to open its details.

  3. Tap Notifications (or Mute) and choose how long you want to mute the conversation.

Pause all Slack notifications temporarily

If you want to silence every Slack notification — not just Airwallex — for a period, use Slack's Do Not Disturb or notification schedule instead:

  • Select your profile picture in Slack, then choose Pause notifications and pick a duration.

  • To set quiet hours automatically, go to Preferences > Notifications and configure a notification schedule.

Manage or disconnect the integration

An administrator can review or remove the Slack connection at any time from Settings > Connections. Disconnecting Slack stops all approval requests from being sent to Slack. Approvers can still view and action their items in the Airwallex web app and mobile app, and receive email notifications.
