How do I add, update and delete payees?

A Payee is an individual or a business you send money to. Payees are managed at the Organisation level, so a payee created by an authorised user is available across the organisation's accounts.

Before you start

  • You need the global Payee Create/Edit permission to add, edit or delete a payee.

  • Have the payee's legal name, destination country, destination currency and bank details ready.

  • Required fields vary by country and payment method.

Find Payees

  1. In the left menu, select the Business Accounts menu item.

  2. On the Business Accounts page, select the Payees tab.

Use the Search field to find a payee by name. Use filters to narrow the list by payment method or status. Each row shows the payee name, destination country and available payment methods. Select a row to view the full details.

Payee nicknames, where available, help identify a payee in search and transfer selection without changing the payee's legal name.

Add a payee

  1. In the Payees tab, click the + New payee button.

  2. In the Transfer via selector, select Bank transfer or Airwallex Pay.

  3. If Airwallex Pay is selected, fill in Account number and Account name with optional Nick Name, and go to step 13. If Bank transfer is selected, continue to step 4-12

  4. In the Type of account holder selector, select Business or Individual.

  5. In the Account country / region dropdown, select the destination country or region

  6. In the Account currency dropdown, select the currency

  7. In the Transfer method dropdown, select a method. Available methods depend on the entity region, destination country, and currency

  8. In the Bank account identifier type dropdown, select the identifier type that matches the payee's bank account.

  9. Fill in the required fields for the identifier type you selected:

  • SWIFT: SWIFT/BIC and IBAN or Account number

  • United Kingdom domestic: Sort code and Account number

  • Australia domestic: BSB and Account number

  • United States domestic: Routing number and Account number

  • Other domestic methods: the local routing and account fields shown by the selected method.

  1. In the Name of account holder field, enter the legal name of the business or individual that owns the destination account.

  2. Payee address: enter the recipient Country or region, Address, City and Postcode

  3. Payee details is optional: you can provide a Nickname as an optional search name, and optional email address

  4. Review the details and select the Create button

  5. Once created, you will be directed back to the Payees tab page, with the detail card open for that payee just created

The new payee appears in the Payees tab and is available for future transfers. Additional information or compliance review may be required.

Edit a payee

  1. In the left menu, select Business Accounts.

  2. On the Business Accounts page, select the Payees tab.

  3. In the Payees tab, use the Search field to find the payee.

  4. Select the payee row.

  5. Select the Edit button.

  6. Update the editable fields, such as the Nickname or permitted bank-detail fields shown by the form.

  7. Select the Save changes button.

The updated details appear in the payee record. Some bank fields may not be editable after creation; if a required field cannot be changed, delete the payee and create it again.

Delete a payee

  1. In the left menu, select Business Accounts.

  2. On the Business Accounts page, select the Payees tab.

  3. In the Payees tab, locate the payee row.

  4. Select the More actions icon button (⋯) on that row.

  5. Select the Delete menu option.

  6. Review the confirmation message and select the Delete button.

The payee is removed from the organisation's saved Payees list. Deleting a payee does not cancel transfers already initiated to that payee. If the current experience shows a direct Delete button instead of the More actions menu, use that button and confirm the deletion.

Common issues

  • Payee cannot be found: search by a partial name and confirm the payee is in the same organisation.

  • Validation error: check the country-specific bank fields and payment method.

  • Airwallex Pay unavailable: the recipient must have an Airwallex account with Airwallex Pay enabled.

  • Compliance rejection: contact support through Kai; administrators cannot override a compliance decision.

Seeing a different version of the Airwallex platform?

You may be on the previous version of the Airwallex platform. See Revamped Airwallex experience: one place to run your whole business (beta) for more information on the change.

The best way to confirm if you are on the new version is to check your left sidebar column for any mention of Business Accounts. In the same sidebar, you can also check that you do not see Wallet or Transfers.

Certain actions and pages may not be visible if you have not been given sufficient global or account permissions.
