Transfer approval workflows define which outgoing transfers require authorisation and who must approve them before processing. A workflow is an organisation-level configuration that can be assigned to one or more Borderless Cash or Yield accounts. Different amount ranges can have different approval requirements.
Before you start
To create or edit a workflow, you must be an Owner or have Manage permission for Transfer approvals on the relevant account.
Each designated approver must be an existing user with the Transfer Create/Edit permission on the source account.
Find transfer approval settings
In the left menu, select the Business Accounts menu item.
In the Accounts table, select the row for the relevant Borderless Cash or Yield account.
On the account page, select the Account configuration tab.
You will see the Transfer approval workflow section
If there's no Transfer approval workflow set up yet, click Get started to create one
If there's an existing Transfer approval workflow, details will display. Click Manage in settings to edit.
You will be directed to the Edit workflows page.
Organisation-wide configuration and the Workflow Change Policy are available in Settings under Business Accounts.
How workflows are structured
A workflow contains amount layers and approval steps.
An amount layer defines a non-overlapping range using minimum and maximum amount fields.
An approval step defines the approvers and the number of approvals required for that layer.
Steps are processed in sequence. A transfer must pass every required step before it is fully approved.
Create or edit a workflow
On the Edit workflows page, click Select Accounts for new workflow or Add accounts to an existing workflow.
Select Reference Currency from the dropdown list.
Select the Add amount range button to set the Less than amount and the Greater than or equal to amount fields.
Click the bin icon on the right if you want to delete the Amount range.
To add approver(s), select the Add approval layer button.
In the Approvers selector, select one or more eligible users.
In the Required approvals field or selector, enter how many selected approvers must approve.
Repeat steps 2–7 for each amount range and confirm that the ranges do not overlap or leave an unintended gap.
Click the Review changes button to review the workflow.
Click Submit change requests to submit.
You will be directed back to the Account Configuration screen. You may see a banner 'workflow changes pending approval'. This means the workflow needs Admin approval to take effect.
Delete a workflow
On the Edit workflows page, navigate to the transfer approval flow you want to delete.
Click the (...) on the right, and select Delete this workflow.
Click the Review changes button to review the workflow
Click Submit change requests to submit.
You will be directed back to the Account Configuration screen.
The workflow change is submitted to the Workflow Change Policy. It takes effect after the required Owner approval, except where the automatic-approval condition below applies.
Optional settings
Self-approval: allows the user who initiates a transfer to count as one of its approvers, where enabled.
Multiple approvals by the same user: allows one approver to satisfy more than one approval step, where enabled.
API-initiated transfers: controls whether API-created transfers follow the workflow.
Workflow Change Policy
Who submits the change | Approval result |
|---|---|
A non-Owner, with one Owner on the account | The Owner approves. |
A non-Owner, with multiple Owners on the account | At least two Owners approve. |
An Owner, with another Owner available | Another Owner approves. |
The sole Owner submits their own change | The change is automatically approved. |
Approve a Transfer (or Batch transfers)
For a pending transfer, designated approvers receive a notification.
In the left menu, navigate to the Dashboard.
On the Dashboard, open the Pending approvals widget.
Select Transfers (or Batch transfers) and you may see a list of multiple transfers when there is more than one transfer pending approval.
Review the Transfer details: Transfer date, Recipient, Reference, You pay (amount and currency).
Select reviewed transfers from the list.
To approve: select the Approve button. A confirmation dialog appears. Select Approve to confirm.
To reject: select the Reject button. A dialog appears with an optional note field. Enter a note if needed, then select Reject to confirm.
The actioned transfer disappears from the Pending approvals list.
Common issues
Transfer is Blocked: check the approver path is valid and that each approver still has Transfer Create/Edit permission.
Workflow change is not taking effect: check whether the required Owner approval is still pending.
Cannot create a workflow: confirm Manage permission for Transfer approvals.
Approver cannot see a pending transfer: confirm the approver's permission on the source account and check the Dashboard's Pending approvals widget.
Seeing a different version of the Airwallex platform?
You may be on the previous version of the Airwallex platform. See Revamped Airwallex experience: one place to run your whole business (beta) for more information on the change.
The best way to confirm if you are on the new version is to check your left sidebar column for any mention of Business Accounts. In the same sidebar, you can also check that you do not see Wallet or Transfers.
Certain actions and pages may not be visible if you have not been given sufficient global or account permissions.
