What does Airwallex’s HRIS integration offer?

Airwallex integrates with your HRIS system to streamline user onboarding and management. With this integration, you can:

  1. Automatically import user data from your HRIS and invite users to your Airwallex Organisation
  2. Review and manage users details including department, location, role, and manager relationships
  3. Configure workflows based on imported user data

Airwallex will refresh your user data daily, identifying new users to invite, updating user details and removing offboarded users.

How do I set up HRIS integration on Airwallex

Please note that you must have an Owner or Admin role in Airwallex and admin permissions in your HRIS system to complete the setup.

  • Log in to Airwallex
  • Navigate to “Settings” in the left-hand navigation bar and click on “Connections”
  • Select the “HRIS” tab
  • Choose your HRIS provider
  • Click “Connect” on the homepage


 

  • To complete the connection, you can either use your admin credentials to the HRIS provider (recommended) or an API key or access token

 

  • Determine whether to map a custom field for employment entity from your HRIS system. By default, we will import users’ name, email, company (if a standard field is available in the HRIS system), manager, department, location and cost center. However, if your HRIS system does not have a standard company field for employment entity and you have configured employment entity as a custom field in your HRIS system, you will need to separately map that custom field in this step in order to import it to Airwallex.


  • Review the user data to sync. Once all fields have been imported, you can review how they are mapped to the corresponding Airwallex fields on the user profile and make changes to the Department and Location field mappings. For Manager, Department, and Location, you can also configure whether you’d like to have those fields stay in sync with the HRIS system by clicking the Sync Field checkboxes. Once enabled, any updates to those fields in the HRIS system will sync daily to Airwallex, and those fields will no longer be editable by an admin in Airwallex.
     


 

  • Map your HRIS company to the Airwallex entity. Map your respective companies in HRIS to Airwallex entities to to automatically assign users to the appropriate Airwallex employment entity. Note that some HRIS providers do not include company information. In these cases, you will need to manually assign an Airwallex entity to each user during the invitation flow.
  • Deactivated user settings: You can optionally enable automatic removal of offboarded users from Airwallex based on their HRIS status. These users will lose access to Airwallex and any issued cards will be cancelled. This happens during the daily sync when we sync over any user details changes.
     

How to invite users from HRIS to Airwallex

After your user data is successfully imported, Airwallex admins will receive an email to invite users from your HRIS provider. This email will only be sent to admins of your Airwallex Organisation.[Screenshot 9]

  1. Go to the User Management tab


     

  2. In the top-left card, you'll see your connected HRIS status and last sync time
  3. The central card will show how many users are “Ready to invite” (i.e., present in HRIS but not yet invited to Airwallex)
  4. Click “Ready to invite” to review the users. By default, all users will be selected. Click on “Invite X users” to proceed. Note that all users will be given the “Employee” role by default.[Screenshot 11]
  1. Confirm the user details and send out the invitations. Please note that an employment entity must be specified in order to send out invitations. If this information is not available from your HRIS provider, you can manually assign an employment entity to each user.
     

How do I configure notifications for HRIS updates?

To receive notifications about user updates from your HRIS, configure your preferences in the Notification Preferences Centre in your User Profile.
