What is the Sage Intacct Spend connection?

The Sage Intacct Spend connection pairs with Airwallex’s Sage Bank Feed to bring your card expenses, reimbursements and bill management into Sage Intacct.

The Sage Intacct Spend connection is an add-on to the Bank Feed integration. It enables you to:

  1. Import your Sage Intacct general ledger accounts, vendors, classes, departments, locations and user-defined dimensions into Airwallex; and
  2. Sync card expenses to Sage Intacct as General Ledger journal entries, and sync reimbursement reports and bills as Accounts Payable bills, including syncing relevant receipts and invoices.

How do I set up Sage Intacct Spend?

  1. Log in to Airwallex
  2. Go to Settings > Connections > Sage > Spend.
  3. If you have not yet connected to the Sage Bank Feed, the Spend connection flow will begin by requiring you to set this up first. You can find a detailed step-by-step for this process in the Sage Bank Feed article.
  4. Map each Airwallex entity to the corresponding Sage Intacct entity.
  5. Import your Sage Intacct accounting data into Airwallex. This includes general ledger accounts, vendors, and dimensions.
    • Sage Intacct department, location, class and user-defined dimensions are imported as Airwallex tracking categories.
  6. Configure the imported accounting data as required. You can enable, disable or rename individual values.
  7. An Expense Category (chart of account) is required on every expense, bill and reimbursement line before it can sync to Sage Intacct - items without one will not sync.

 

How do card expenses sync to Sage Intacct?

Card expenses sync to Sage Intacct as General Ledger journal entries in an Airwallex General Journal. Airwallex creates a single instance of this journal automatically, and it is used across all Sage Intacct entities.

When do card expenses sync?

  • Automatically, after final approval: sync is triggered in real time.
  • Individually or in bulk by any admin: admins may use the Accounting hub to bulk sync transactions, or use the individual "Sync" button on an expense.

For card expenses, transactions that are still pending when approved will only begin syncing once the transaction settles.

How do card expense fields sync to Sage Intacct?

Airwallex Sage Intacct General Ledger Journal Entry
Entity / Organisation Journal entries will be private to their Sage Intacct entity, resolved automatically from the Airwallex organisation’s entity mappings.
Merchant This will be present in the journal entry’s description.
Transaction date Posting Date (uses the transaction date by default, or the settlement date if "sync using settlement date" is enabled in Spend > Accounting > Settings).
Transaction Currency The currency of the debit GL-account line.
Billed Currency The currency of the credit GL-account line. In the event that this differs from the expense’s Transaction Currency, a clearing account will be additionally debited and credited to track foreign exchange rate variance.
Expense Category (Account) The debit GL-account line. This is always required to initiate a sync.
Line item Tracking Categories The department, location, class or user-defined dimension on the debit GL-account line.
Line item Description The debit GL-account line description (if unpopulated in Airwallex it falls back to expense description, then "Airwallex Expense").
Line item Amount The debit GL-account line amount, in the transaction currency. If the expense has no line items, the transaction amount is used.
Receipts Journal-entry attachments.
Notes This will be present in the journal entry’s description.

How do reimbursements sync to Sage Intacct?

Reimbursement reports sync to Sage Intacct as a single Accounts Payable bill per report, with one line for each reimbursement line item.

Airwallex Sage Intacct Accounts Payable bill
Entity / Organisation Sage Intacct entity. The bill is private to the entity resolved from the Airwallex organisation’s entity mapping.
Submitter Vendor. Depending on your reimbursement setting, Airwallex uses the shared Airwallex Expenses vendor, or creates and reuses a dedicated Sage Intacct vendor for the submitter. The dedicated vendor is named after the submitter.
Report date Bill date and due date, using the reimbursement report’s invoice date.
Report currency Bill transaction currency.
Description Bill description: Airwallex Expenses report together with any report and reimbursement notes.
Line item Chart of Account Bill-line GL account. This is required; a reimbursement report cannot sync without a chart-of-account allocation on every line.
Line item Description Bill-line memo. If the line-item description is empty, Airwallex uses the reimbursement description, then Reimbursement.
Line item Amount Bill-line transaction amount.
Line item Tracking Categories Bill-line dimensions (department, location, class or user-defined dimensions).
Receipts Bill attachments.
Notes Included in the bill description.

How do bills sync to Sage Intacct?

Bills sync to Sage Intacct as Accounts Payable bills.

Airwallex Sage Intacct Accounts Payable bill
Entity / Organisation Sage Intacct entity. The bill is private to the entity resolved from the Airwallex organisation’s entity mapping.
Vendor Vendor. The vendor must already be synced to, or created in, Sage Intacct.
Bill date Bill date.
Due date Due date.
Bill currency Bill transaction currency.
Description Bill description, including any bill notes.
Line item Chart of Account Bill-line GL account. This is required; a bill cannot sync without a chart-of-account allocation on every line.
Line item Description Bill-line memo.
Line item Quantity × Unit Amount Bill-line transaction amount.
Line item Tracking Categories Bill-line dimensions (department, location, class or user-defined dimensions). If no Location is selected on the line, Airwallex applies the Sage Intacct entity’s location.
Attachments Bill attachments.

When an Airwallex bill is paid, its payment also syncs to Sage Intacct against the corresponding Sage bill. For cross-currency payments in a currency different to a Sage Intacct entity’s base currency, Airwallex uses a clearing-account entry where required.
