What are Account configurations

The Account configuration tab lets administrators manage transfer approval workflows, configure which currency is used when a transfer is refunded, and set up balance and rate alerts. This article explains how to navigate the Account configuration tab on Borderless Cash and Yield accounts, review pending workflow changes, and access the controls for each configurable setting.

You need Owner or Admin permissions, or explicit account-level configuration permissions (see User Access Management Guide), to access and manage account configuration settings. Feature availability may vary by entity and region.

Navigate account configuration

The Account configuration tab is available on Borderless Cash accounts and Yield accounts. It is not present on Credit accounts.

  1. In the left menu, select Business Accounts.
  2. In the accounts table, select a Borderless Cash or Yield account.
  3. On the account page, select the Account configuration tab.

See What is a Borderless Cash account and Getting Started with Airwallex Yield in Hong Kong for how to navigate to each account type.

To view organisation-wide configurations, in the left menu select Settings, then select Business accounts under PRODUCTS.

Sections available by account type

The sections visible on the Account configuration tab differ between account types:

Section Borderless Cash Yield
Transfer approval workflow Yes Yes
Transfer refund currency Yes —
Low balance alerts Yes —
Rate alerts Yes —

The Transfer approval workflow section is available on both Borderless Cash and Yield accounts. The Transfer refund currency, Low balance alerts, and Rate alerts sections are available on Borderless Cash accounts only.

Understand transfer approval workflows

A transfer approval workflow is a per-account rule that specifies which transfers require approval before they can be processed and who is eligible to approve them. Workflows can be divided into multiple tiers by transfer amount, with different approval requirements for each tier.

Changes to a transfer approval workflow require approval from an account Owner before they take effect.

To understand how approval workflows affect the transfer process itself, see How do I create a transfer?

Borderless Cash account: approval workflow section

On a Borderless Cash account, the Transfer approval workflow section of the Account configuration tab shows the current state of the workflow for that account. Two states are possible:

When no workflow is configured:

  • A Get started button appears to begin workflow setup. Clicking Get started opens the Edit workflows page, a dedicated workflow configuration interface.
  • A Learn more link opens a help article with background on approval workflows.
  • A Manage in settings link opens an in-page Business Accounts settings panel where workflow changes are made.

When a workflow is configured (or changes are pending):

  • The current workflow tiers and approval rules are displayed.
  • If workflow changes are pending your approval, an alert banner appears.
  • A Manage in settings link opens an in-page Business Accounts settings panel to review or modify the workflow.

Workflow configuration, including creating, editing, or deleting approval tiers, is accessible from the Manage in settings link (which opens an in-page settings panel) or the Get started button (which opens the Edit workflows page).

Manage the transfer approval workflow

To create or edit the transfer approval workflow for a Borderless Cash or Yield account:

  1. Follow steps 1–3 in Navigate account configuration above.
  2. In the Transfer approval workflow card, select the Manage in settings link.
  3. In the Business accounts settings panel, select the Transfer approvals tab if it is not already selected.
  4. Select the Edit workflows button to create or modify approval tiers.

The Edit workflows page opens. Complete the on-screen steps to create or update approval tiers, then save to apply changes. For step-by-step instructions on configuring approval tiers, see How to manage transfer approval workflows in an Organisation.

What you can configure in a workflow

Within the Edit workflows page, the configurable options for each approval tier include:

  • Accounts: any Borderless Cash or Yield account in the organisation can have a workflow applied
  • Value thresholds: set in any reference currency; create multiple tiers with different rules based on transfer value
  • Approval layers: any number of sequential approval steps can be required
  • Approvers: any number of users can be designated as approvers; approvals can require sign-off from all or any of the selected users

Three workflow rules can be toggled:

Rule Default
Allow a user to approve a transfer they submitted Off
Allow a user to approve a transfer in multiple steps Off
Require API-initiated transfers to follow this workflow Off

If self-approval is disabled and the user who submitted a transfer is the only designated approver, that transfer will be blocked. Ensure at least one other eligible approver is available for each tier.

Yield account: approval workflow section

On a Yield account, the Transfer approval workflow section shows the configured workflow tiers and approval rules for that account. A Manage in settings link is also present and opens the same in-page Business Accounts settings panel.

If no workflow has been set up for a Yield account, a Get started button appears. Once configured, the approval tiers and rules are displayed directly.

Pending approval changes

When workflow changes have been submitted for approval but are not yet approved, an alert banner appears at the top of the Account configuration page, above all section cards. The banner identifies the account by name and states that workflow changes are pending your approval.

Two action links are available within the pending approval alert:

  • View change request: opens the details of the proposed workflow change so you can review what has been requested.
  • View details: expands the alert banner to show a note that the updated workflow will take effect for all new transfers only upon owner approval. Once expanded, the button changes to Hide details.

As an Owner, you can use these links to review and act on pending changes. The pending approval alert appears only when workflow changes are awaiting approval; it is not visible when no changes are pending.

Configure transfer refund currency

The Transfer refund currency section appears on the Account configuration tab for Borderless Cash accounts. It controls which currency is used when a transfer is refunded back to the account.

The section displays the current setting. To change it:

  1. Follow steps 1–3 in Navigate account configuration above (Borderless Cash account).
  2. In the Transfer refund currency card, select the Edit link.
  3. Select an option from the dropdown:
    • Currency recipient gets — the refund is returned in the currency the recipient received.
    • Currency you pay — the refund is returned in the currency you originally sent.
  4. Select the Save button to confirm, or Cancel to discard the change.

The Transfer refund currency card updates to show your new setting.

To apply the same setting across multiple accounts, select Edit for multiple accounts.

This section is available on Borderless Cash accounts.

Configure low balance alerts

The Low balance alerts section appears on the Account configuration tab for Borderless Cash accounts. Low balance alerts notify you when the account balance in a specific currency falls below a threshold you configure.

Alerts are configured per currency. You can set a different threshold for each currency your account holds.

To add or change alert thresholds:

  1. Follow steps 1–3 in Navigate account configuration above (Borderless Cash account).
  2. In the Low balance alerts card, select the Manage button.
  3. Select the Add new alert button to add a new row to the table.
  4. Set the Currency (the currency to monitor) and the Amount (the threshold below which the alert triggers).
  5. Select the Save button to confirm, or Cancel to discard changes.

The alert appears in the table. You receive a notification when the available balance in that currency falls below the threshold.

Additional actions in the low balance alerts table:

  • Select the checkbox on a row to bulk configure or delete multiple alerts.
  • Select the bin icon in a row to delete that alert.

Organisation-wide low balance alerts are also viewable from the left menu. Select Settings, then Business accounts under PRODUCTS.

This section is available on Borderless Cash accounts.

Configure rate alerts

The Rate alerts section appears on the Account configuration tab for Borderless Cash accounts. Rate alerts notify you when the exchange rate for a specified currency pair reaches a target value you set.

The section displays a table of currently configured rate alerts:

Column Description
Sell currency The currency you are monitoring for selling
Buy currency The currency you would buy
Alert The configured rate threshold, shown as a comparison expression such as "1 USD <= 1.28 SGD"
Status Current alert status (for example, Active or Triggered)
Creation date Date the alert was created
Open menu Per-row action menu for editing or deleting the alert

Create a rate alert

To add a new rate alert:

  1. Follow steps 1–3 in Navigate account configuration above (Borderless Cash account).
  2. In the Rate alerts card, select the New rate alert button.
  3. Select a Sell currency and a Buy currency from the dropdowns.
  4. Optionally, select the switch icon between the dropdowns to reverse the pair direction.
  5. In the target rate field, enter the rate at which you want to be notified. You will be notified when the conversion rate reaches or exceeds this value.
  6. Select the Create button to save the alert.

The new alert appears in the Rate alerts table.

Edit or delete a rate alert

Each row in the rate alerts table has an Open menu button. Select it to access options for editing the alert's target rate or deleting the alert.

Notification preferences

Rate alert notifications are delivered according to your profile settings. Select the User profile link in the Rate alerts section description to manage where and how notifications are sent.

This section is available on Borderless Cash accounts.

Seeing a different version of the Airwallex platform?

You may be on the previous version of the Airwallex platform. See Revamped Airwallex experience: one place to run your whole business (beta) for more information on the change.

The best way to confirm if you are on the previous version is to check your left sidebar column for any mention of Business Accounts. In the same sidebar, you can also check that you do not see Wallet or Transfers.

Certain actions and pages may not be visible if you have not been given sufficient global or account permissions.
